The productivity, performance, and profitability of every organization depend a lot on the employees’ absenteeism. The lower it is, the better. However, sometimes it is inevitable for the employees to skip office. Hence, it will be wrong to generalize all absenteeism types and say that all of them are bad for an organization. This is also the reason why you need to calculate absenteeism rightly and then take measures to control it, if necessary.

If we talk broadly then it can be divided into Planned and unplanned one or excused or unexcused one. When the planned absences are not taken very frequently, it isn’t much of a problem. If you will not know the formula, you will end up inserting wrong digits into the software. This will get you the wrong results and the corrective measure you will plan would not be right too!
So, here is the right formula for your help-

[(# of unexcused absences)/total period] x 100 = % of Absenteeism

After seeing the percentage of absenteeism, it is important for you to know what is the ideal rate of absenteeism as otherwise, you will have nothing to compare the value of your result with. Now, as an employer, you would always want to see 0% absenteeism but practically that is not possible. No matter how diligent and focused your employees are, emergencies are bound to happen sometime or the other with someone or the other in your organization. People can feel burnt out, they can fall sick, they may have some family responsibility, friend’s marriage, or something else. 

While you cannot do much about this kind of absenteeism, there is something that you can do about excused or unexcused absenteeism.   

How to control Absenteeism?

To better prepare your business to not get much affected by absenteeism, here are somethings that you can do. 

  • Make sure you have someone else to fill the vacant position or work, Even if it requires a part-time person or freelancer to do the work. 
  • Before the person goes, make sure you communicate this to everyone that the files that are required by other teams should be shared by them. So that other employees are not stuck at the office waiting for the absent employee to share the document. 
  • Let the employees know that once in a blue moon they might need to work a little extra 
  • Let the employee know that if required when they are absent they can be contacted to get somethings done overcall. 
  • After that, you must also keep a track record of the tasks done and not done. This will help you and the employee in being more clear. 

So, make sure you follow the aforementioned points related to let nothing impact the productivity of the company. An additional tip to control absenteeism is to work on their attendance policy in the attendance management software you use. The same can reduce absenteeism and make employees aware that it is better for everyone if they will take planned leaves.
